I. Introduction


Managing your translation workflow often requires that you save, organize, find and send files for multiple clients who all use different file naming conventions... none of which may match yours. To manage your workflow easily, you must be able to move and rename files easily in Windows. The exercise below will help you to practice various ways of carrying out these operations. It's important to be aware that there are often multiple ways of accomplishing the same task in Windows; you may know some that are not described here. The only thing that matters is that you know at least one easy, quick and efficient way to accomplish what you need to do!


II. Getting ready

  1. Download the compressed folder Translation_Technologies_Articles.zip and save it in the Documents library.

  1. Extract the files from the compressed folder and save them to a sub-directory of Documents with the name Translation_Technologies_Articles (that is, using the default settings in the Windows extractor).


III. Moving files

  1. Create a sub-directory of Translation_Technologies_Articles for each of the following more specific areas: Teaching, Practice and Terminology.

  1. Move the file containing Budin's presentation on eTerminology to the Terminology sub-directory.
    1. In the Documents library, click once on the file to select it. Once it is selected, the file information will appear highlighted in blue.
    2. Using the left mouse button, drag and drop the file to the Terminology folder. Double-click on the sub-directory to open it and confirm that the file now appears inside. (See note 1)

  1. Return to the Translation_Technologies Articles sub-directory and move the articles by Alcina and Fulford and Granell-Zafra, which deal with technologies in translation practice, to the Practice folder.
    1. Select the first file by clicking on it.
    2. To select more than one individual file, hold down the Ctrl key on the keyboard and click the second file you wish to move. The files are both selected. (See note 2)
    3. Once you have selected the necessary files, from the Organize menu at the top of the window choose the Cut option. (The keyboard shortcut for this action is Ctrl+X.)
    4. Double-click on the Practice sub-directory to open it.
    5. Paste the cut files by selecting the Paste option from the Organize menu at the top of the window. (The keyboard shortcut for this action is Ctrl+V.) The files will appear in this folder. (See note 3)

  1. Back in the Translation_Technology_Articles sub-directory, move the remaining files, which contain articles about teaching and technologies, to the Training sub-directory.
    1. Select the first file by clicking on it.
    2. To select a block of files (i.e. the three remaining files), hold down the Shift key on the keyboard and click the last file in the list.
    3. Use the approach of your choice (drag and drop or cut and paste, as described above) to move the files to the Training sub-directory.

  1. All of your files are now classified according to their subject.


IV. Renaming files

  1. Rename the Alcina article in the sub-directory. Translation_Technology_Articles\Practice sub-directory to indicate the year it was published and the journal in which it appeared
    1. Right-click on the file you wish to rename.
    2. Choose the Rename option from the contextual menu that appears. The name of the file is highlighted in blue.  
    3. Modify the filename to add the year (2008) and journal (Target), and press Enter.
    4. The file appears with its new filename.

  1. Use a different technique to rename the Fulford and Granell-Zafra article.
    1. Click once on the file you want to rename.
    2. Wait a moment, and then click once again. (See note 4) The filename will be highlighted.
    3. Modify the filename as you wish to add the year (2005) and publication (JoSTrans), and then click elsewhere in the sub-directory.
    4. The file appears with its new filename.

  1. Your files are now sorted by subject and renamed to make it easier to identify the articles.



  1. You can also drag and drop files using the right mouse button. Once you have dropped the files, a contextual menu will appear giving you the choice of moving or copying the files, or cancelling the operation.
  2.  You can select as many individual files as you wish using this method.
  3. You can display and hide the folder structure in the left-hand side of the window by choosing the Layout option from the Organize drop-down menu at the top of the My Documents window. You can click on the arrows beside the various drives and directories to open the list of their sub-directories. Once you have displayed the sub-directory to move your files to and selected the files you want to move, you can simply drag them to the new directory. To hide the directory structure again, simply change your choice using the Layout command.
  4. If you click too quickly, the file may open.  If it does, simply close it (it cannot be renamed while open) and then try again, clicking more slowly or using the right-click technique described above if you prefer.
